Information you give us directly
- Contact enquiries: your first and last name, phone number, email address, the type of enquiry, and any message you choose to write.
- Competition entries: full name, email, phone, gender, date of birth (optional), next-of-kin name and phone number, and your acknowledgement of our waivers. For sanctioned events we also collect your APL membership ID, equipment selection, event(s) entered, weight class, and tested/untested status.
- Account and membership details: handled by our membership provider, ClubFit. Their privacy policy applies to data submitted via their checkout pages.
Information we collect automatically
- Basic technical metadata when you submit a form: your browser user-agent string and IP address. We use this to investigate spam, abuse, and technical errors.
- Locally stored preferences (e.g. light/dark theme choice). These stay in your browser and are not transmitted to us.
Payment information
If you pay for a comp entry online, payment is processed by Stripe. We do not see, handle, or store your credit card details. We only receive a confirmation that the payment succeeded, along with a reference (the Stripe payment intent ID) used for support and reconciliation.
3. How we use your information
We use your information to:
- Respond to enquiries and follow up about memberships, coaching, and events;
- Process competition entries, including sending confirmation emails and managing waivers;
- Provide access to facilities, classes, and coaching services you sign up for;
- Run safety checks (e.g. emergency contact details for comp days);
- Comply with legal obligations and respond to lawful requests;
- Improve the website, fix bugs, and protect against abuse.
We do not sell your personal information. We do not use your data for unrelated marketing without your consent.
4. Who we share information with
We share your information only where necessary to run the business. The third-party services we use are:
- Supabase — secure database hosting for form submissions and entries.
- Stripe — payment processing for competition entries.
- Resend — transactional email delivery (confirmations and notifications).
- ClubFit — gym membership management (only when you sign up to a paid membership).
- Google Maps — embedded map showing our location.
Each provider has its own privacy practices. We choose providers we believe meet a reasonable standard of security and compliance, but you should review their policies if you'd like more detail.
We may also disclose information where required or permitted by law, or to protect our rights, our members, or the safety of any person.
5. Where information is stored & how it's secured
Form submissions and competition entries are stored in our Supabase database, hosted in the Asia-Pacific (Sydney) region. Data is encrypted in transit (TLS) and at rest. Access to the admin dashboard is limited to authenticated ZeroW SE Melbourne staff via password-protected logins.
Some of our service providers are based outside Australia. By using this website, you consent to your information being processed in the locations where these providers operate, subject to their respective protections.
We retain personal information only for as long as it is needed for the purposes described above, or as required by law. Comp entry records are retained for accounting and event-history purposes. You can request deletion of your information at any time (see Section 7).
6. Cookies, analytics & tracking
This website does not currently set third-party tracking cookies or run analytics tools that build a profile of your browsing. We use the browser's local storage only to remember your light/dark theme preference. Stripe and our membership provider may set their own cookies on their hosted pages.
7. Your rights
Under Australian privacy law, you have the right to:
- Ask what personal information we hold about you;
- Request that we correct information that is inaccurate or out of date;
- Request that we delete your personal information, subject to any legal or operational obligations to retain it;
- Make a complaint about how we have handled your personal information.

Our gym memberships are for adults aged 18 and over. Under-18s may participate in supervised events with a parent or guardian's consent and presence. We do not knowingly collect information from anyone under 18 without that consent.
